Full-time Bilingual Office Manager

This job is located at Ashley Taylor in Rayong

Expected salary: At least 20,000 Baht/month

Essential functions of the position will include but are not limited to the following:
Please note that this list is not in any hierarchical order of importance

• Schedule and prepare for meetings and appointments within the office including refreshments
• Create agendas and take meeting notes
• Organize office layout and order stationery and supplies
• Maintain the office in good working condition identifying and arranging for any necessary repairs
• Have competent skills in information technology including, MSWord, Excel, PowerPoint, Facebook etc
• Handle expenses/bills in a timely fashion – utilities, copying, materials & resources, staff advance payments
• Maintain up to date records of Communication Coaches and other Admin staff relating to Contracts, Immigration, Visas and Work Permits
• Develop positive working relationships with personnel at Government Offices in Mathaput and Rayong
• Maintain clear and easy access to records within the office filing system
o Finance, Buildings, Staffing, Teaching & Learning, Marketing, Personal, Clients and Miscellaneous
• Communicate with relevant agencies to produce travel itineraries for business directors and employee events
• Arrange meetings by scheduling appropriate meeting times, booking rooms
• Manage correspondence by answering emails and sorting mail
• Assist in planning and arranging events, including catering
• Manage the Office reception area and look after any visitors/potential clients
• Answer phone calls and transfer them as necessary
• Draft, format and print relevant documents – eg. course certificates
• Maintain and Update Office stock/material list – fixtures and fittings
• Interact with Directors and assist with their requests within reason
• Assist in purchase orders and invoicing ensuring that all correct signatories and stamps are in place
• Maintain accurate records for employee holiday requests
• Manage outgoing post and record data on special deliveries
• Attend external workshops and conferences when requested
• Maintain website/Facebook functions and other Social Media platforms (Line)
• Keep an up to date record in the PALS Language School Diary
• Be able to translate certain documents from English to Thai and vice versa
• Assist with any educational activities to include Summer Camps, Thai lessons (remunerated)
